How to choose clinic software: a demo checklist
Bring the work you need. Let your team try it before deciding.
In this guide
Define what moves and what stays
Start with your team’s main difficulties: overlapping appointments, slow searches or sales reconciliation, for example. Separate what must work from day one from later additions. If you keep existing clinical software or paper records, assign each task to a system and an owner.
Work to try
Appointments, sales and receipts, for example. Define the result your team needs.
Work to keep
Clinical documentation in the existing system or on paper, for example.
Handoffs to confirm
Who finds information, who records the sale and how the team checks consistency.
Using two systems alongside each other does not mean automatic integration or import.
See business and clinical scope in the clinic software overview.
Try one case from appointment to receipt
Prepare one service, a doctor schedule and an ordinary retail product. Use fictional data and let the people who will use the system complete the steps, as well as watching the demonstrator.

Book, then change the plan
Create a 30-minute appointment. Move it, cancel it and try a walk-in. Ask how the team handles overlapping times and how an online request differs from a confirmed appointment.
Find a returning patient and the right information
Search by name or phone. Check the identity and relevant history. Appointment and sales information has a different scope from clinical records; ask for a separate clinical demonstration if needed.
Sell a service and an ordinary retail product
Record payment and inspect the receipt, report and remaining stock. Try correcting a mistake or refunding under the provider’s supported process. Ask about medicine handling separately if needed.
Let your team use its actual devices
Repeat on the phone, tablet or computer used for that task. Check Thai, printed documents and English where needed. Record where the demonstrator still has to help.
These are evaluation prompts, rather than capabilities every system or subscription provides.
Check access, history and error recovery
An easy screen still needs appropriate access and a recovery process your team understands. Test separate role accounts, rather than sharing an owner login.
Does access match each person’s work?
Try reception, doctor and owner roles. Check viewing, editing, refunds and exports, including attempts that should be denied.
Which changes can you trace?
Edit sample data and ask who changed what and when. Confirm the recorded scope, retention and how an incorrect entry is corrected while preserving its history.
Can the team recover after an error?
Ask to see invalid input or a connection interruption during saving. The selected language should explain what to do. Check whether data was saved before trying again.
Confirm data handling and support before starting
Ask for sample files and actual steps. “Migration available” and “support included” leave scope, timing and responsibilities unanswered.
- Data you can take out or bring in
- Request sample exports of required records, images and attachments. Confirm formats, charges, timing and access after leaving. For imports, confirm supported data, completeness checks and what the clinic must prepare.
- Setup, training and incident help
- Agree who sets up services, calendars and documents, who trains the team, and support channels and hours. Distinguish response time from expected resolution and ask about urgent incidents.
Compare costs for the same work and team
Use the same people, locations, work and time period in every quote. Separate payment timing from the charge unit, then ask what is included and extra.
With AnyCura, try business tools for 30 days without a card: appointments, basic patient profiles, sales, general retail stock and reports, for example. Medical and Dental Clinic software are optional add-ons with separate demos. Access is available after licence verification and your first AnyCura Partners payment.
- What is counted?
- Business, location, device, login or person enabled for appointments: ask for a clear definition.
- What costs extra?
- Setup, training, imports, equipment, messages, clinical tools and relevant taxes in the actual quote.
- How do you change or leave?
- Starting payment, billing cycle, renewal, cancellation and data access after the service ends.
Check counted people, current totals and terms in the pricing calculator.
Finish the demo with evidence
Record each task’s result, owner and follow-up. Sort the findings into three groups before agreeing a start date. You do not need to change everything at once.
Record a result for each essential task
- Demonstrated
- The team completed it under intended conditions, has a sample result and knows who owns the first steps.
- Needs confirmation
- Request another demonstration, a sample file or written scope, with a follow-up before deciding.
- Does not fit yet
- If the missing work is essential, keep your current process or evaluate another option before starting.
Questions
Where should we start comparing clinic software?
Start with work that causes difficulty and must function from day one, such as appointments, searches or sales reconciliation. Try the same case in every system with the people who will use it.
Can we keep existing clinical software or paper records?
Yes, when starting with AnyCura business work such as appointments and sales. Assign tasks and owners in each system. Using both tools does not mean automatic integration or import.
What should we test beyond the normal case?
Try moving or cancelling an appointment, an account without permission, an incorrect sale and uncertainty about whether a save completed. Check the message users see and how work resumes. Use fictional data.
Does AnyCura charge for every employee?
No. For clinics, count people enabled for their own calendar appointments. Reception and assistants who only support the work add no person fee. Enabled people still count in a month without appointments or with online booking turned off. Check current totals and terms on the pricing page.
Does the AnyCura trial include medical records or dentistry?
Try business tools for 30 days without a card. Arrange a separate demo for medical records or dentistry. Clinical software is an optional add-on for clinics with verified licences after their first AnyCura Partners payment.
